Hendersonville Theatre, established in 1966, is a nonprofit 501(c)3, the only community-based performing arts organization in Hendersonville, NC. Its core mission, “to inspire, nurture, enrich, empower, educate, entertain and challenge artists and audiences,” is realized through an extensive array of vibrant performances, active community involvement, and comprehensive performing arts education. Hendersonville, under the artistic direction of Victoria Lamberth, produces over 40 theatrical and musical performances every year. They present six major full theatre productions annually, reader’s theatre productions, and numerous community initiatives. Position Summary

The Executive Director is a co-leader with the Artistic Director, reports to the Board of Directors, and oversees the theatre’s daily business, administrative, and financial aspects. This role involves steering the organization’s strategic planning, branding, marketing strategies, external relationships, fundraising efforts, and advancing initiatives in each domain. The Executive Director is responsible for balancing artistic excellence with optimal business practices, employing a management style emphasizing consensus-building and demonstrating strong strategic decision-making and forward-thinking capabilities. The Executive Director skillfully navigates the varied requirements of various stakeholders, including the Artistic Director, Board members, volunteers, community leaders, and administrative staff. In this role, the Executive Director tackles intricate challenges where numerous factors hold differing significance levels to each stakeholder group. The Executive Director oversees the duties of the Company Manager, the Development department, the Business department, the Marketing department, and other PPH personnel, including annual evaluations of administrative staff. Above all, Hendersonville Theatre’s Executive Director must be someone who can inspire the staff, patrons, and local community.

 

Roles and Responsibilities

Working in unison with the Artistic Director, the Executive Director ensures the organization’s continued fiscal responsibility, supporting the artistic vision to preserve top-tier programming. Their responsibilities include overseeing financial management to implement strategic plans, playing a pivotal role in fundraising, and supervising the marketing and public relations departments. Responsibilities encompass community relations, fundraising, marketing (including season subscriptions), public relations, communication, long-term planning, and operational, financial, and administrative management. The Executive Director is instrumental in building relationships to secure local and national financial support and forging collaborative initiatives with for-profit and nonprofit entities. In partnership with the Artistic Director, the Executive Director leads the creation and communication of strategic vision to stakeholders, fostering optimal performance from board members and staff. They are also responsible for developing the organization’s Diversity, Equity, and Inclusion initiatives across the Board, staff, and community relations.

 

Administration

 

  • The Executive Director is responsible for overseeing and guiding all administrative staff functions, except for those tasks that fall under the purview of the Artistic Director.
  • The Executive Director is tasked with the prudent management of all the organization’s resources, ensuring they are allocated and distributed to achieve an optimal balance between artistic excellence, institutional integrity, and financial stability.
  • Collaborates closely with the Artistic Director and Education Director of the theatre’s educational programs, focusing on budgeting and addressing various fiscal, operational, and administrative matters that affect this department.
  • Offers staff leadership, guidance, and support, upholding effective management practices. Addresses personnel issues and cultivates positive working relationships among the Board, staff, artistic leadership, and performers.
  • Promotes teamwork and collaboration, consistently attends performances, and participates in development and cultivation events.
  • Oversees HT’s contracting with external agents, including ASCAP, BMI, insurance agreements, leases, vendors, etc. 
  • Ensures the organization has robust information, communications, and technology systems. 

Fund Development and Strategic Partnerships

 

  • The Executive Director assists in cultivating and soliciting existing donors and volunteers.
  • Propels the company into the future by supporting and creating sustainable and mission-aligned pathways for new relationships, programs, and revenue opportunities.
  • Demonstrates a collaborative leadership style in various communities and settings that inspire internal and external stakeholders to participate in Hendersonville Theatre’s vibrant and exciting future.
  • Exercises overall managerial responsibilities for achieving the fundraising and financial goals of the organization, including fostering a culture of philanthropy among all constituencies.
  • Supports the organization as a solid strategic and fundraising leadership voice and will be instrumental in expanding the development team.
  • Works to create a diverse funding base for HT, including foundations, major donors and individuals, corporations, public funding, and earned revenue.
  • Works with the staff to plan, organize, direct, and expand the fundraising program; oversee a major gifts program that involves identifying, cultivating, soliciting, and stewarding current and prospective corporate, community, foundation, and individual donors.
  • Assists with grant writing and builds and sustains relationships with current, new, and potential grant-giving organizations and individuals.

 Financial Management

  • The Executive Director provides executive-level financial oversight for the organization.
  • The Executive Director oversees the financial mechanics of monthly reporting, including current financial results, budget variance, performance forecasting, accurate cash flow projections, and balance sheets.
  • Works closely with the Artistic Director, the staff, and the board to produce an annual budget incorporating the impact of programming decisions and other organizational goals.
  • Supports the organization’s overall front-of-house operations.

Marketing and Public Relations

 

  • The Executive Director, along with the Artistic Director, serves as the spokesperson for the theatre.
  • The Executive Director promotes the theatre locally, regionally, and nationally through well-conceived marketing and public relations strategies.
  • The Executive Director oversees the promotion and marketing of the theatre, including annual direct mail appeals, press releases, and all necessary marketing materials and campaigns.
  • Provides marketing guidance and support for advertising and promotions for performances, performers, and seasons while enhancing the community’s awareness of the theatre.
  • Assists in developing programs to increase attendance by promoting season subscriptions and ticket sales.
  • Works to create and implement the annual marketing plan, including social media, traffic monitoring, online ticket sales, email correspondence, newsletters, direct mail, and other campaigns to build ticket sales, donors, and audiences.
  • Ensures that local and regional media have appropriate and timely information about theatre performances and activities, as well as print and online social media.
  • Joins forces with the Artistic Director and marketing team to create innovative sales strategies to maximize earned revenue and elevate Hendersonville Theatre’s brand and identity.

Board Governance and Community Relations

 

  • The Executive Director builds constructive and supportive relationships with board members, government officials, and community leaders.
  • The Executive Director works with Board leadership on Board recruitment and development opportunities.
  • The Executive Director provides monthly reports to the Board.
  • Fosters an atmosphere that supports creative governance and facilitates effective meetings.
  • Assists the Artistic Director in advancing the organization’s visibility and relationship to the donor community, business and community groups, other arts groups, and other appropriate constituent parties.
  • Works with the Artistic Director to support the development and effective operations of the Board of Directors 
  • Works with the Board to identify the need for committees and prioritize the work of the Board.
  • Expands and fortifies the existing, mutually supportive relationships with neighbors and community organizations to advance educational and connectivity initiatives.
  • Engages and motivates board members, leverages their skills and networks, and collaborates with board leadership on strengthening governance in support of the organization.

Human Resources

 

  • The Executive Director develops and implements all human resource policies, including overseeing human resource activities related to the artistic and production staff.
  • The Executive Director promotes and facilitates staff professional development opportunities.
  • Along with the Artistic Director, hires and provides direct staff supervision. 
  • Works to ensure all personnel practices conform to best practices and federal, state, and local laws.
  • Maintains and contributes to a culture of teamwork, both through advocating for inter-team collaboration and personal involvement as organizational needs arise.
  • Ensures that HT’s employment policies are current and complete and support the organization’s staffing goals and needs.
  • Oversees recruiting, training, and coaching and empowers staff at all organizational levels to work at their highest potential and have a voice in the future to build and retain a diverse, healthy, and sustainable team.

Facility Management

 

  • The Executive Director oversees the efficient and cost-effective operation and maintenance of the theatre’s facilities, encompassing office spaces, rehearsal areas, educational spaces, theatre, and other production environments.
  • Works with the Board of Directors to oversee the planning and implementation of capital expenditures and facility improvements that will grow annual revenue.

Education and Experience

  • A Bachelor’s degree or equivalent in Theatre or Arts Administration, Nonprofit Management, or Business is preferred.
  • Prefer candidates with three to five years of management experience in a nonprofit, arts, or culture organization.
  • Familiarity with theatre operations is a plus.
  • Prefer candidates with fundraising experience, such as working with major donors and foundations, forming community partnerships, and seeking and developing partnerships locally, regionally, and statewide. 

Compensation and Benefits

The anticipated salary range for this position is $38,000 to $50,000 annually. The salary of the candidate selected for this role will be set based on a variety of factors, including, but not limited to, experience, education, and qualifications.

Position Summary

The Costume Shop Supervisor is responsible for coordinating, supervising, and assisting in all activities in Hendersonville Theatre’s Costume Shop and all costume, including hair and makeup-related, activities; overseeing, guiding, and supporting volunteers through the day-to-day operations in the Costume Shop; advising show costume designers, maintaining equipment, ordering/purchasing needed supplies, organizing materials and costume stock areas, overseeing pulling and of costumes for productions; maintaining open and positive communication with HT staff; attending staff meetings and requested production meetings; designing costumes, hair, and makeup for shows if desired; keeping budget records as deemed necessary; developing and enforcing safety procedures for proper operations of equipment; maintaining a clean and safe working environment; and performing other related duties as assigned. (Please note, at this time, the costume shop is still being organized and set up to run efficiently. Cleaning and organizing will be top priorities for this position, along with overseeing costume usage for the theatre.)

 

Roles and Responsibilities

  • Responsible for the costume shop’s day-to-day operations and supervising all activities associated with the shop, including rentals.

  • Duties include overseeing the pulling, building, renting, and purchasing of all costume, hair, and makeup elements; maintaining equipment and supplies for the costume shop and costume-related stage areas; organizing and maintaining all costume storage areas; attending pertinent production and staff meetings, and designing costumes, hair, and makeup for productions as needed.

  • Supervises production crews and guest designers in constructing and acquiring costumes, hair/wigs, and makeup for productions.

  • Oversees strike/load out of each production to ensure that all costumes, hair, and makeup pieces are properly and efficiently cleaned and stored correctly and that the facility is left in an orderly and clean state immediately following an event.

  • Ensures that costumes maintain their appearance and are appropriately cleaned during and after productions.

  • Supervise costume shop interns and volunteers for Hendersonville Theatre.

  • Works with production costume designers to ensure they know HT’s stock and don’t make unnecessary purchases.

  • Train and supervise designers and volunteers working on HT productions using all costume, hair, and makeup equipment.

  • As needed, instruct designers and volunteers on particular techniques, such as safety precautions while operating equipment.

  • Maintain an organized, productive, and clean workspace in the costume-related areas, ensuring the correct placement of tools, equipment, and supplies.

  • Maintain safety and security in all HT facilities.

  • Order basic shop supplies as needed.

  • Oversee production personnel to ensure production designs comply with licensing, health, and safety regulations.

  • Monitor the safe use of equipment such as industrial sewing machines and hand tools and modify safety procedures as necessary.

  • Maintain tools and equipment in production areas such as domestic sewing machines, industrial sewing machines, ironing/pressing equipment, dress forms, hair and makeup-related equipment, and other items specifically related to the production aspects of the program.

  • Perform regular visual inspections to ensure equipment remains in good working condition.

  • Work with vendors to conduct annual inspections and repairs as needed.

  • Maintain safety documentation.

  • Report/assess any injuries as needed.

  • Provide and maintain an ongoing program of facility safety and repair.

  • Assist in developing production budget policies in consultation with the Artistic Director to ensure the effective meeting of the needs of planned productions and related activities.

  • Maintain internal budget records and distribute financial activity reports and budget status reports every month or as needed.

  • Work with production personnel to ensure policies and procedures are followed in all financial transactions.

  • Remain aware of the needs and availability of the creative team, production spaces, and the theatrical calendar.

  • Maintain up-to-date inventory of equipment for theatre and production areas.

  • Coordinate with production teams to maintain and improve shop conditions and schedule maintenance as necessary.

  • Receive and process donations in an organized manner, following legal and federal guidelines while serving as a positive ambassador for the theatre.

  • Assist with maintaining volunteer worker logs.

  • Makes recommendations to the Technical Director regarding capital purchases of equipment and seeks cost-effective solutions

  • Refrains from alcohol and drug use while working in the theatre.

 

Required Qualifications

Theatre experience; training and experience in costume design and the ability to build, adapt, and maintain costumes, hair, and makeup for the stage required; progressively responsible work experience in costume, hair, and makeup production and accountable experience in costume shop management is a plus but not required; prior work experience in an environment that work of quality needed to be completed within absolute deadlines and effective communication with co-workers and volunteers is preferred.

 

  • Knowledge of theatrical production techniques concerning costume design and construction, including draping, patterning and cutting, costume crafts, hair, and makeup.

  • Knowledge of theatrical production equipment; ability to safely and efficiently use and teach costume designers and volunteers to use all costume, makeup, and hair tools and equipment.

  • Knowledge of general computer skills and programs, including Google Workspace and Spreadsheet.

  • Knowledge of the theatrical production environment’s budget process and financial management principles.

  • Knowledge of safety guidelines (OSHA) and ability and willingness to learn rules and procedures.

  • Ability to supervise effectively.

  • Ability to be flexible in setting work schedules and tolerance for adaptability when working with diverse volunteers, artists, technicians, and other groups.

  • Ability to effectively communicate interpersonal, written, and oral and express ideas clearly, concisely, and convincingly using practical negotiation skills.

Hendersonville Theatre is seeking a seasoned fundraiser to join our team. In this role, you will use your expert communication skills and keen sense of initiative to spot fundraising opportunities, develop relationships with potential donors, manage fundraising campaigns, and liaison with local and state government officials. By coordinating events, writing proposals, and recruiting and leading volunteers, you will hone your speaking, writing, and leadership abilities while moving Hendersonville Theatre closer to its financial goals.

 

Primary Purpose:

The Development Director will participate in strategic planning, budgeting, grant development, and fundraising. This position is responsible for all phases of grant development, evaluation, and compliance, including research, pre-award grant writing, the coordination of grant applications, post-award support for grant-funded projects, managing the grant reporting process, and successfully closing out grant projects with final budget and report outcomes to stakeholders.

 

The Development Director will actively research and pursue prospective public and private funding sources while developing relationships with potential funders. This position will coordinate with fund personnel and other stakeholders as needed. The ideal candidate will be motivated, professional, organized, and knowledgeable in research. We seek someone who believes in Hendersonville Theatre’s mission and will demonstrate an exceptional drive to further our fundraising efforts and help strategize and deliver new ones.

 

Role and Responsibilities:

  • Partner with the Executive Director and Financial Committees to develop and implement a comprehensive annual strategy across all development activities
  • Develop, implement, and maintain a comprehensive cultivation and stewardship plan for new and significant gifts by conducting prospect research to identify, qualify, and manage donors.
  • Oversee the Annual Fund for Artistic Excellence in implementing broad-based initiatives for mid-level donors, focusing on growing a significant giving portfolio and providing guidance on donor strategies at all giving levels.
  • Liaise with local and state government officials to promote the organization’s mission, vision, and programs to garner support.
  • Track progress toward fundraising goals and report using metrics and analytics.
  • Cultivate a network of dedicated donors and volunteers
  • Plan fundraising initiatives to help the organization meet financial goals
  • Organize fundraising events while overseeing teams of volunteers
  • Form strong relationships with external stakeholders
  • Use CRM to track activities, pull reports, and support accurate data input processes.
  • In concert with the Executive Director and Financial Committees, collaborate with Hendersonville Theatre’s Marketing, Sales, and Education Departments
  • The Development Director will research, write, format, and submit compelling, high-quality grant proposals to funding agencies (federal, state, and private foundations) while applying knowledge of fundraising methods and plans to reach goals.
  • This role is responsible for proactively researching and analyzing grant opportunities and making recommendations on their feasibility.
  • The position will collaborate with leaders and team members to develop relationships with key stakeholders, develop supporting documents, and maintain donor databases and records.

Other Duties and Responsibilities:

  • Performs internal reviews of institutional needs, collects and gathers program data, and assesses the feasibility of obtaining external funding for project and program proposals
  • Investigates local, state, federal, private, foundation, and corporate sources of funds. This includes reviewing materials, listservs, meetings, telephone contacts, and correspondence
  • Develops and maintains an internal grant application process
  • Develops and maintains a grant management system for funded grants that includes report due dates, budget adherence, and any other grant requirements
  • Develops and maintains a library of information on funding sources, grant writing, and community and state data relevant to the foundation’s programs and services
  • Collaborates with fund personnel to gather input for all projects and comply with requests for data and other information
  • Coordinates, develops, and processes grant applications from the conceptual to submission stage while working closely with staff throughout all phases
  • Manages multiple projects and priorities, including searching for funding sources, writing proposals, managing existing grants, reporting to stakeholders, and working on special projects
  • Cultivates a network of dedicated donors and volunteers and forms strong relationships with external stakeholders
  • Plan fundraising initiatives to help the organization meet financial goals

Qualifications and Education Requirements:

  • Bachelor’s degree or equivalent experience
  • 3+ years of experience in nonprofit fundraising and understanding development activities, including identifying, soliciting, and acquiring individual, major, and corporate funders and sponsorships.
  • Demonstrated ability to implement project plans and timelines through completion and monitor and track budget.
  • Demonstrated ability to successfully communicate and build relationships with internal and external stakeholders and maintain confidentiality.
  • Exceptional skills in research, reasoning, and written and oral communications
  • Ability to lead and motivate colleagues and volunteers

  • Board members are expected to have the financial acumen to read and understand Hendersonville Theatre’s financial statements and to otherwise help the board fulfill its fiduciary responsibilities.
  • Board members are expected to attend monthly board meetings. They are expected to read board materials in advance of board meetings and to come prepared to ask questions and participate in discussions.
  • Board members are expected to devote 5-10 hours per month to volunteering at the theatre for non-artistic related duties.

Internships

Hendersonville Theatre offers a variety of internship opportunities for both high school and college students. Internships are designed to supplement classroom learning with practical learning experience and professional mentorship. HT welcomes applications from all students enrolled in all programs, including graduate, undergraduate and high school students. All internships are unpaid and housing is not provided. Course credit is available for internships if offered through the intern’s sponsoring institution. Semester-long internships are offered during fall, spring, and summer semesters. Individual start dates will vary.

Hendersonville Internship Opportunity: 

Front of House/Box Office

Front of House and Box Office Interns will gain hands-on experience and knowledge of how a small theatre company works and will work closely with our entire staff to assist with both the running and maintenance of front of house as well as being the face of the box office through customer service and sales. This position will coordinate with ushers, volunteers, production manager, and stage manager to help maintain the house and patron experience. The Company Manager will provide each intern with training, guidance and professional knowledge. We strive to give our interns rewarding projects and exciting learning experiences. Interns will report to and work with the Company Manager as they work together to make the front of house and box office experience inviting for our patrons. At Hendersonville Theatre, we strive to make our patrons feel like one of the family and we hope that each time they call the box office or walk through the doors for an event they feel special and taken care of. Interns will have the opportunity to work with ticketing systems, learn to build programming into the system, have a strong focus on customer care and relations, will help with the prep and organization of the front of house before, during, and after special events and regular programming, and will assist with various administrative duties.

Production Department

Production Intern will gain hands-on experience and knowledge of how a small theatre company works and will work closely with our Production Manager to assist with production needs and the running of the theatre in many diverse ways. Interns will be taught many facets of the role of the Production Manager, from dealing with administrative issues to hiring and production budgets. Interns will help the PM with scheduling and running meetings, approving the use of the theatre itself, assisting with designers and directors with the actualization of specific sets/props/costumes, and may be asked to help hands-on with the running of certain productions and concerts during their time at HT. Production Interns may be asked to help cover the box office on occasion.

Costume Design & Costume Shop

Costume Design and Costume Shop Interns will gain hands-on experience and knowledge of how a small theatre company works and will work closely with our Costume Shop Manager and occasionally other staff to assist with the organization and maintenance of the costume shop and workroom. Interns will also have the opportunity to assist with costume design and implementation of designs for any production(s) ongoing at the theatre. The staff will provide each intern with training, guidance and professional knowledge. We strive to give our interns rewarding projects and exciting learning experiences. Projects will include creative organization, inventorying costume pieces and notions, opportunities to build costume pieces from the ground up and utilize any sewing skills where applicable, opportunities for creative input, help oversee the design process in real time through ongoing productions, and learning the basics of costume shop management.

Marketing Department

Marketing Interns will gain hands-on experience and knowledge of how a small theatre company works and will work closely with our entire staff to assist with marketing and public relations initiatives.. The staff will provide each intern with training, guidance and professional knowledge. We strive to give our interns rewarding projects and rare and exciting learning experiences. Projects will emphasize digital content creation, marketing strategy & planning, market research, sales analysis, and outreach. The interns are exposed to different aspects of marketing, promotions, advertising, patron loyalty, and public relations. Interns will have the opportunity to work with a real working advertising budget, assist on executing an advertising plan including creation of all ad materials for print & collateral pieces. Internships may also include the opportunity to plan and execute show promotions and outreach events. Additional duties may include updating social media sites, designing Playbills, assisting in distributing marketing materials to local partners within the community, and various administrative duties.

Development Department

The Development Intern will assist in activities related to volunteer management, fundraising and grant writing, community engagement, data entry and reporting, and direct service and advocacy.

The ideal candidate will: 

  • Conduct prospect research on individual, foundation, and corporate donors
  • Maintain donor and grant databases and files, including calendaring deadlines, logging donations, generating and sending donor acknowledgements, logging donor appreciation efforts
  • Support creation of annual fundraising campaigns
  • Assist staff with grant application writing and tracking
  • Assist staff with researching state and federal regulations regarding donor solicitation (e.g., registration with offices in other states) and general development efforts (e.g., raffles, auctions)
  • Support staff with logistics associated with special events, including assisting with creation of invitation list, all logistics, soliciting sponsors, communicating with venue and vendors
  • Track and evaluate all development efforts
  • Work with the Development Director to implement development strategies
